Invoiced meets

$2per athlete, per meet

For meets that charge entry fees: the invitationals and championships that pay a swim team’s bills.

  • We invoice every entering team for its entries
  • We collect payment and pay the host its entry fees
  • Our fee is passed through as a line on each team’s invoice
  • Visiting teams don’t need a membership to swim

On a 1,150-athlete invitational that’s $2,300, paid by the teams that enter it.

Why we charge this way

The team fee pays for running PoolDeck: hosting, support, and continued development. It’s a fixed number so it can go in a club budget like the pool rental or the timing system, and it doesn’t change with roster size.

For many clubs, hosting an invitational or a championship is what pays the bills, and it’s also the most work: invoicing every visiting team, chasing payments, matching what was paid against who was entered. PoolDeck takes care of that billing and the meet logistics around it. Our platform fee rides on the same invoices, so it’s paid by the teams that enter and the host keeps its entry fees.

Questions

Who ends up paying the platform fee?

The entering team. Teams that pass entry fees on to their families pass the platform fee on with them, like any other part of the entry fee.

Which meets have a platform fee?

Only meets that invoice teams for entries through PoolDeck. Dual meets and time trials that don’t charge entry fees are included in the team membership, however many you run.

How does billing work on an invoiced meet?

The host sets its entry fees. When entries close, we invoice each entering team for its entries plus the platform fee for its athletes, collect the payments, and pay the host its entry fees in full.

How do teams pay, and what does processing cost?

By bank transfer (ACH) or card, through PoolDeck. The invoice adds processing for the way a team pays, at cost: 0.8% capped at $5 by bank, or 2.9% + 30¢ by card. Paying through PoolDeck is what lets us reconcile every payment against the entries, so we don’t take checks.

We only host one invitational a year. What do we pay?

The host team needs a membership; the visiting teams don’t. Talk to us if your club only runs one meet a season.
